ACCOUNT COORDINATOR
FLSA Status: Non-Exempt
GENERAL SUMMARY
The Account Coordinator supports Peter Jacobsen Sports’ clients, programs, and events by providing logistical, administrative, and project coordination across a wide range of assignments. This role contributes to smooth event execution, maintains accurate documentation, communicates with partners and vendors, provides support to account teams in delivering high quality service. The Account Coordinator is a key member of the PJS team, organized, responsive, professional, and adaptable to shifting event cycles and client needs. Travel is required (approximately 30%) to support on-site event operations, client activations, and vendor coordination.
RESPONSIBILITIES
The following represents typical responsibilities and expectations of a Peter Jacobsen SPORTS Account Coordinator, regardless of client or project. Event-specific duties will be outlined separately.
- Coordinate Lexus fleet vehicle logistics at professional and amateur golf events.
- Prepare, maintain, and distribute accurate deliverables (documentation, databases, spreadsheets, reports, files, etc.) as required for assigned programs.
- Identify and source vendors for equipment, supplies, and services; gather quotes, support negotiations to secure favorable terms, and provide oversight of vendor deliverables and agreements to ensure all services meet event requirements. Ensure supplies are procured and sent to venues for on-time use.
- Support contract preparation and administration, including coordinating agreements with clients, governing bodies, venues, and vendors.
- Provide marketing and digital support, including updating websites, coordinating social media content, creating and distributing email newsletters, and organizing digital media assets.
- Support planning, scheduling, and execution of event logistics, ensuring details are organized, communicated, and completed on time.
- Assist with on-site event operations, including setup, vendor coordination, guest services, troubleshooting, and post-event wrap-up.
- Create and organize materials, project timelines, presentations, and reports as needed for to support internal, client, and event needs.
- Maintain ongoing communication with project teams and clients, providing updates on progress, next steps, challenges, and required actions.
- Communicate professionally and promptly with internal teams, clients, partners, vendors, and event representatives.
ACOUNTABILITIES
This role involves a moderate level of complexity due to high-profile clients and fast-paced event environments. Accurate, timely work is essential, as errors may affect client relationships or disrupt project flow. While the role receives regular guidance from supervisors, coordinators are expected to take initiative, use sound judgment, and maintain high standards of accuracy and professionalism. The position requires frequent communication across departments and with clients, vendors, tournament staff, and partners, often involving confidential or sensitive information. Coordinators represent PJS in a variety of settings and must uphold professionalism in all interactions.
KNOWLEDGE & TECHNICAL SKILLS
- Working knowledge of event planning, coordination, and logistics
- General understanding of PJS programs, goals, objectives, policies and procedures
- Skill in organizing, tracking, and prioritizing multiple projects and deadlines
- Strong proficiency in Microsoft Office Suite and the ability to quickly learn new digital tools, platforms, and internal systems
- Ability to prepare accurate documentation, reports, and communication materials

EDUCATION & EXPERIENCE
- Bachelor’s degree in marketing, business, communications, sports management, or a related field, or equivalent combination of education and experience
- 1–4 years of experience in event coordination, operations, marketing, or related client-service environments preferred
- Experience in sports events, nonprofit events, or hospitality is a plus
ENVIRONMENT
Work is performed in a hybrid environment that includes both office-based work and remote work.
This position requires approximately 30% travel to support on-site event operations, client activations, and program logistics. Travel and event responsibilities occur in a variety of indoor and outdoor environments and may include occasional weekends and extended work hours, standing or walking for long periods, as well as occasional lifting of materials or equipment.
BENEFITS
This is a full-time position and is eligible for benefits including 401(k), health, vision, dental, PTO, and paid holidays.
The pay range for this position is $20-$24 per hour depending on experience. Work at events typically involves some overtime.
